In-person check-in or key box? A comparison
A key box costs less and works well with experienced travellers on short stays. In-person check-in costs from €22 excluding VAT and pays for itself when it confirms the real number of occupants, cuts requests in the first 24 hours and heads off neighbour disputes before they start.
The question is almost always framed wrongly. It is not which one is better, it is which bookings each one pays for itself on. This guide compares them point by point.

What each option really costs
A key box looks free because the cost is one-off. In-person check-in looks expensive because the cost is visible on every arrival. In reality both carry indirect costs that never appear on an invoice.
With a key box, the hidden cost is messages. A guest who cannot work out the water heater writes, and someone answers — or nobody does, and the review drops. Multiply that by seven arrivals in August and it adds up to more time than seven check-ins.
With in-person check-in, a two-bedroom with seven arrivals a month comes to €154 excluding VAT. That only makes sense if all seven arrivals justify it — and they rarely do.
The rule we apply
It is not a question of property, it is a question of booking. We recommend switching on in-person check-in in these cases:
- Groups of four or more. This is where the declared number and the real number diverge, and where neighbour problems begin.
- Stays of seven nights or more. The relative cost per night becomes marginal and the relationship gain is real.
- Guests with no review history. Physical presence changes behaviour.
- The first arrival after a change to the property — new equipment, works, a changed lock.
And keeping the key box for everything else, including as a safety net when in-person check-in falls through.
What changes by area
The trade-off is not the same across the south bank.
In Costa da Caparica and Sesimbra in August, the decisive argument is occupant numbers: these are the areas where pressure on housing and parking makes over-occupancy immediately visible to the neighbours.
In Montijo, with a weekday business clientele arriving late and leaving early, the key box is almost always the right answer: the guest wants to get in without interacting with anyone.
In Azeitão and Palmela, with long stays and an older clientele, in-person check-in is what produces the five-star review — and the cost spreads across seven nights.
The mistake to avoid
Fitting a key box and never changing the code. It is the most common security flaw we find, and the only one with serious consequences. A code that never changes circulates: former guests, passers-by, anyone who watched it being entered.
If you use a key box, the code changes every stay. No exceptions. It is a thirty-second job and it belongs in the turnover.
Frequently asked questions
Can you have both in the same property?
It is the most common setup and the one we recommend. A key box fitted permanently, as a safety net and for night arrivals, with in-person check-in switched on for the bookings that justify it: groups, long stays, guests with no review history.
Is a key box secure?
With a temporary code changed every stay, yes. The real risk is not forced entry: it is the code that keeps circulating because it was never changed. A key box without code rotation is a security problem, not an equipment problem.
Does in-person check-in really cut support requests?
Yes, and that is its main indirect economic gain. Questions about heating, hot water, Wi-Fi and appliances get answered during the five-minute walkthrough instead of turning into messages — or a call-out — in the first 24 hours.
